All championships must be conducted under the aegis of recognized International, National or State sports federations and recognized by the Railway Sports Promotions Board (RSPB). Sports achievements must be from the current and/or immediate preceding 2 years, that is from 01.04.2024 onward, and the sportsperson should be an active player. The concluding day of the championship or event is taken into account for validity.

Candidates applying for more than one Game/Event, or for posts in different Pay Levels, must pay a separate fee along with all necessary documents for each Discipline/Event or Pay Level. The fee must be deposited online in favour of PFA/RCF/KXH's Online Account No. 65035290377, IFSC Code SBIN0050540, State Bank of India before the closing date. A copy of the fee receipt must be attached with the application, otherwise the application will be rejected. Cheque, Draft and Postal Order are not accepted.
Fee Exemption
- Minority Candidates: Candidates from Muslim, Christian, Sikh, Buddhist or Zoroastrian (Parsi) communities claiming fee exemption must submit a self-declaration in the prescribed format at the time of Document Verification, along with a minority community affidavit on non-judicial stamp paper. If the affidavit is not produced, the candidature will be rejected.
- Economically Backward Classes (EBC): Candidates whose family income is less than Rs 50,000 per annum can claim fee exemption with an income certificate issued by a District Magistrate or revenue officer up to Tehsildar level, a sitting Member of Parliament (Lok Sabha or Rajya Sabha), or based on a BPL card or similar poverty alleviation certificate.

All eligible candidates are called for a trial. Only candidates declared FIT, securing 25 or more marks out of 40 marks for game skill, physical fitness and coach's observation during the trial, are assessed further for the next stage. The offer of appointment is given purely on the basis of merit. In case more than one sportsperson scores the same marks, preference is given to the younger candidate to decide the merit.
